Office + Client Experience Manager

At Wheelhouse Design, we are a small, collaborative collective of creatives known for curating spaces that shape lives and inspire personal expression. While our product is highly creative, our business relies on exceptional operational precision.
We are seeking a seasoned Office + Client Experience Manager to serve as the foundational backbone of our studio and the true right hand to our Principal Designer. This role is built for a detailed, systems-driven administrator who loves data, managing financials, keeping projects on schedule, and providing a polished, concierge-style experience to clients and vendors.

Your time will be dynamically split between internal operations (~70%) and forward-facing client/brand management (~30%):
Office & Team Administration: Own the studio's daily rhythm. You will manage the physical environment, run internal meeting agendas, capture action items, track team deliverables, and handle the general inbox.
Right-Hand Support: Partner daily with the Principal Designer to anticipate operational needs, protect timelines, and manage the master project calendar.
Financial & KPI Tracking: Keep our business healthy. You’ll manage monthly invoicing, payroll, A/P and A/R, expense tracking, and monthly transaction reconciliations alongside our part-time, off-site Bookkeeper.
Client & Vendor Experience: Oversee the new client onboarding flow (welcome communications, portals, and questionnaires) and send regular updates. Serve as the professional first point of contact for inquiries, vendors, and trades.
Brand & Culture Support: Support our marketing team by coordinating photo shoot logistics, collecting client testimonials, and organizing internal team events and community volunteer initiatives.

The Experience: You bring 5+ years of experience as an office administrator, with at least 2+ years specifically in an Office Manager role
The Mindset: You are highly supportive and pragmatic—not looking to do creative design work yourself, but energized by building the frameworks that allow a creative business to succeed.
The Toolkit: You have a solid understanding of foundational business and financial principles. You are highly proficient in Microsoft Office, Google Workspace, and financial tracking/project management software.
The Logistics: You possess a valid driver’s license and are willing to travel locally up to ~15% of the time for errands or vendor drop-offs. You can handle the physical demands of a busy studio (including occasional lifting up to 30 lbs of samples/decor).
Discretion: You have a proven track record of handling highly confidential proprietary company, employee, and financial information.
